1. Compliance of Laws and Regulations
Hotel Keihan Co., Ltd. (hereinafter referred to as the "Hotel") recognizes the importance of Personal Information, and in order to strives the Guest's satisfaction and trust by ensuring the protection thoroughly, we comply with the laws and regulations and internal rules related to the protection of Personal Information.
2. Purpose of Use of Personal Information
- To Provide products / services to Guests and any response incidental thereto
- To Send notices, advertisements/printed materials, emails regarding information on new products, services, events and public offerings (campaigns), etc. of the Hotel and group companies, (however, we will discontinue forthwith when receiving Guest's intention of discontinuance)
- To improve services and develop new products based on Guest's opinions, requests, etc.
- To utilize as basic data for business analysis and create statistical information
3. Provision to a Third Party
Except for the cases where the Personal Information is delegated to an entrustee, or is provided as a result of the succession of business in a merger or any other reasons, the Hotel will not provide the Guest’s personal information to a third party. However, the Hotel may provide the Guest’s Personal Information to a third party without the Guest’s prior consent if and when the provision of personal information is;
- Based on laws and regulations:
- Necessary for the protection of the life, body, or property of an individual, and it is difficult to obtain your consent:
- Specially necessary for improving public health or promoting the sound growth of children and in which it is difficult to obtain your consent:
- Where the Hotel, in advance , notifies the person of the matters listed in the following items or put those matters in a readily accessible condition for the person, the Hotel may, notwithstanding the provision of the preceding paragraph, provide such personal information to a third party.

4. Shared Use
When sharing personal information with a specific third party, the Hotel will inform the Guest of the necessary items specified in the following items.
- Joint use with a specific person
- Items of Personal Information used jointly
- Scope of joint users
- User’s Purpose of use
- Name of the individual or business operator responsible for managing the personal data
Detailed Regulations for
Personal Information Disclosure
When requesting for notification, disclosure, correction, etc., discontinuance of the utilization, etc. (hereinafter referred to as Disclosure, etc.), submission of the prescribed application form and identity verification documents, and the prescribed fee is required.
1. Documents required for Application
- Disclosure request for Personal Information, etc.
- Any of the following documents required as identity verification documents
- Driver's License
- Passport
- Government-Issued Photo ID
- health Insurance Certificate
- National Pension Book
2. Charges for Disclosure, etc.
When the Guest requests for the “Notification of Purpose of Utilization” or the “Disclosure”, JPY 1,000 per request will be charged (please note that, when requesting for “Correction, etc.” or “Discontinuance of the Utilization, etc.”, the Guest needs to request for the “Disclosure” first, and specify the applicable Personal Information.).
3. Cases not Subject to Disclosure
When falling under any of the following items, the Hotel may keep all or part of the retained personal data undisclosed:
- fulfillment of the request threatens to cause damage or injury to the life, body, assets or other rights or interests of the Owner or a third party;
- fulfillment of the request threatens to cause material impediment to our business operation; or
- fulfillment of the request constitutes violation of laws and regulations.
4. Correction, etc.
When the Hotel is requested by a person to correct, add, or delete such retained Personal Information (hereinafter referred to as the “Correction, etc.”) on the ground that the retained Personal Information is contrary to the fact, the Hotel shall, except for the cases in which special procedures are prescribed by any other laws and regulations for the Correction, etc., make a necessary investigation without delay within the scope necessary for the achievement of the Purpose of Utilization, and on the basis of the results, implement the Correction, etc. of the retained Personal Information.
5. Correction, etc.
Where the Hotel is requested by the person to discontinue using or to erase such retained Personal Information (hereinafter referred to as the “ Discontinuance of the Utilization, etc.”) on the ground that the retained Personal Information being used for a purpose out of the utilization purpose, or acquired by a deception or other wrongful means, and where it is found that the request has a reason, the Hotel shall discontinue using or erase the retained Personal Information concerned without delay to the extent necessary for redressing the violation.
However, this provision shall not apply to cases in which it costs large amount or otherwise difficult to discontinue using or to erase the retained personal data and in which the business operator takes necessary alternative measures to protect the rights and interests of the person.

- Third parties including Yahoo and Google are commissioned to display advertisements of the Hotel on various websites. Third parties including Yahoo and Google distribute advertisements based on Cookies that provide information on the history of a user's activity on the Hotel website.
- The website of the Hotel may display advertisements delivered by third party distributors, including Google and Yahoo, in connection with this, the third party may acquire Cookie information, etc. of any users who visited the website, and utilize such information.
- Cookie information, etc. acquired by the third party will be handled in accordance with the privacy policy of the said third party.
